COVID Related

What is the cancellation policy?

Please see below cancellation policy for this event.  

  • Full refunds will be available on all cancellations e-mailed (registrar@rmahq.org) to the registrar by March 4, 2022 minus a $150.00 processing fee. 
  • Credit toward future event: If you cancel from March 5 to March 25, 2022, 50% of the registration fee may be used as a credit toward the 2023 event or another RMA program within one year; no processing fee would apply. 
  • No refunds will be issued after March 26, 2022. 
  • Registrants failing to attend the event will not be eligible for a refund. 
  • If the event is canceled by RMA, registrants will receive a full refund for registration fees. However, RMA does not assume responsibility for any other expenses, including the purchase of airline tickets, incurred by the registrant in connection with attending the event. 
  • All registrants are responsible for their own Hotel reservations and will need to cancel any reservations directly through the Hotel unless otherwise communicated. 
  • All applicable refunds will be issued following the close of the event. NOTE: A refund will be returned in the original purchase format. If paying with a credit card, a refund will take an additional 10 business days to post to your account. 

COVID consideration: If the World Health Organization declares a safety concern or if international, federal, state or local travel restrictions make it impossible for RMA to host the event, registration fees will be returned. 

What is the vaccination policy?

Attendees agree that at the time they will attend the event, they will be: fully vaccinated; have not tested positive for COVID and are not within the isolation period recommended by the CDC; and/or are not exhibiting COVID symptoms.​

Will I have to sign any type of waiver when I register?

What is RMA doing to create a safe environment for the conference?

The RMA team is keeping a close eye on all CDC Guidelines and changes in COVID-19 infection rates. Please be prepared for safety precautions at the venue, such as timed entry, mask-wearing, social distancing, and/or hand sanitizer stations, so that we can make this a safe, enjoyable conference. We will encourage masks at the conference but will announce our official policy closer to the event.  

During registration, I had to attest that I was vaccinated, am not positive for COVID, will not be within the isolation period recommended by the CDC and am not exhibiting COVID Symptoms at the time of the event. Do I have to show proof of my status at the event?

RMA is focused on protecting the health of Members and other attendees and that is particularly true during the COVID era as the virus spreads easily. The attestation provides all attendees with a understanding of the expectations for attendance. Neither vaccination cards nor proof of a negative COVID test on-site are required by the hotel or RMA.

Are masks required in the meeting space?

RMA follows all CDC and local guidelines/requirements for masks and other protocols. RMA will share the current guidelines with registered attendees in pre-conference materials—sent approximately 5-7 days prior to the event.

Will the hotel staff wear masks?

Hotels follow CDC and local guidelines/requirements for masks and other protocols. Attendees may opt-out of room cleaning services during check in. RMA will require hotel staff to wear masks while in our meeting space (AV team and food service) until CDC guidelines remove all mask recommendations.

What if I am contacted by a third party for hotel reservations?

RMA will not reach out to solicit hotel rooms or to register you for this conference.  Should you be contacted by any organization or website that claims to offer lower rates we urge you to use extreme caution and contact rmaevents@rmahq.org with any relevant information.

What is the dress attire?

Business casual is appropriate for the event.  Since meeting rooms are often cold, you may wish to bring a jacket or sweater.

How do I obtain a receipt for my registration fee? 

You will receive a confirmation letter once your registration is paid in full. This confirmation also serves as your receipt.

How will I receive my registration badge and materials? 

Event materials will be distributed at the event registration area at the venue. Attendees MUST wear name badges to all conference sessions and events to gain admittance. Replacement badges will not be issued. No exceptions will be made. We appreciate your cooperation.

Whom do I contact with questions about my registration? 

What will the weather be like in TX?

In May, Dallas has an average high temperature of 84°F and an average low temperature of 65°F.

Will sessions be available after the virtual conference?  

Yes, sessions will be available on-demand through June 30, 2022.

How do I access the on-demand sessions after the virtual conference?

Participants can access the on-demand sessions by going to the virtual event site. 

How do I access the sessions for the virtual conference? 

Registrants will have access to the virtual event site starting on Wednesday, May 11 by 3:00 pm EST to begin signing up for individual sessions and saving the invitations to your calendar. If registering after 11:59 am EST on May 11th, you will gain access to the site following the timing guidelines listed below. Access is associated with the e-mail address used during registration and participants can only log on with one device. RMA will send you a link to the virtual conference site. In addition, a link to the site will be posted to the conference website. 

May 11 (12:00pm EST) to May 17th (5:00 pm EST):   

  • Registrations received by 11:59 pm EST, Monday through Friday, will be processed by 10:00 am EST the following business day.  
  • Registrations received over the weekend will have access to the site by 10:00 am EST the following Monday. 
  • The link to the virtual event platform can be found on the conference website (Access takes at least 24 hours; it’s not immediate). 

May 17 (10:00am EST) to May 19 (11:59 pm EST).  

  • If you register before 9:00 am EST on May 18, you will have access to the conference on May 18 by 10 am EST 
  • If you register after 9:01 am EST on May 18, you will have access to the conference on May 18 by 5 pm EST 
  • If you register before 9:00 am EST on May 19, you will have access to the conference on May 19 by 10 am EST 

Registrations processed after 9:01 am EST on May 19, will have access to the on-demand content (for those available on-demand) from May 20, 2022 through June 30, 2022. 

What are the system requirements to access the virtual conference?

ON24 is a 100% web-based platform. Google Chrome is the recommended browser for this platform, however since firewall settings and individual systems can vary, the other two preferred browsers are Firefox or Microsoft Edge. 

What are the internet requirements to access the virtual conference?

Before you access the virtual conference, please ensure that your browser is configured to stream media and that your audio is on. A minimum Internet connection of 800 Kbps is recommended for an optimal experience.  

Can I watch on my phone or tablet? 

Yes, you can watch on your phone or tablet using your available web browser. Please note, you can only log into the platform from one device at a time. Ex. Phone or Computer. 

How do I sign up for a session and/or save to my calendar?

To sign up for a session, simply log into the virtual platform using this link, enter the conference you have registered for, click on “Build Your Agenda” or “Join Live Sessions Here” depending on the date of attending, and select the sessions you wish to schedule. You can also download the calendar invitation directly from the platform for that specific event.

I missed the virtual conference; can I still watch on-demand?  

Yes! All sessions (for those available on-demand) will be available for on-demand viewing through the virtual event site from May 20, 2022 through June 30, 2022. 

Is there a full agenda that I can download? 

While building your agenda, you will see a location where “DOWNLOAD FULL AGENDA” is available.

What is included with my in-person event registration fee?

If you purchase registration for the in-person event, you will have access to sponsors and exhibitors, meals (breakfast, breaks, receptions) and access to all conference sessions.  In addition, access to the virtual broadcast sessions May 18-19 and the on-demand content for at least 30 days (on demand content is not CPE eligible).

When can I get into a session? 

Participants can enter the session 15 minutes prior to the posted start time. The button located next to the session title will say “LAUNCH” when the platform is available to enter.

Is there a full agenda that I can download? 

While building your agenda, you will see a location where “DOWNLOAD FULL AGENDA” is available.

Is there an attendee guide available to attendees?

Yes, you can download the attendee guide to walk you through the platform at any time in the location shown below.

Can I connect with other attendees during the event?

Visit the Networking Hub and conversations 1-on-1 with those that are also in that location, like a networking event at an in-person conference.

Will I have an opportunity to ask speakers questions during their session?

Yes, there will be a text-only Q&A function available for you to ask questions throughout the conference. Please understand that due to the number of participants, it may be necessary to combine questions. 

How do I use the Q&A during the live broadcast? 

RMA has chosen to utilize the chat feature for Q&A during these events. For events that have Q&A available with the speakers, you will see a chat widget located on your console. Feel free to communicate with other attendees using this feature as well.  

Q&A will only be available via the chat function – no verbal Q&A will be answered.  

Will anyone see my Q&A question that I submit?

All content submitted into the chat feature will be seen by the audience immediately. RMA DOES NOT have the ability to remove chat comments so please make sure to review your chat comments before submitting.  

 

Can I call into a session? 

You can use your smartphone to access the platform via a web browser. However, there is no dial-in (phone number) access.


Technical

Whom do I contact if I have technical questions about the event platform? 

Please e-mail audience.support@on24.com or reference the Technical FAQs below. 

I keep receiving a message stating “Login Failed” when entering my e-mail address trying to login.

Be sure that your e-mail address is entered exactly how you registered for the conference, as well as you have waited the required amount of time following your registration to be included in the registration list. Please reference the registration timeline question above. 

Can I access a session from a different computer than the one I registered from?

You can access a session regardless of the computer you initially registered from by entering your e-mail address in the returning registrant portion of the event login page. However, your e-mail can only be used once.  

Pressing the "Launch Presentation" button does not do anything. 

If you have pop-up blocking software installed and it is active, it may be blocking the presentation console from opening. You may need to temporarily disable the pop-up blocking software to participate in the conference. 

I received a message that the session is not currently available. 

You may see this message due to one of the following reasons:  

  • Verify the time and date of the session to ensure the start time of the event.  
  • The event you are trying to access has concluded but the on-demand version is not yet available.  
  • The on-demand version of the session has expired on June 30, 2022. 

I receive an "HTTP not found" error message. 

128-bit Encryption is required for your operating system and browser.  

The sound works continuously, but the video freezes. 

This is usually because of network congestion. Try closing out of all other programs on your device and refreshing your browser. 

The media player automatically stops, or it continually stops and buffers.

You will want to refresh your browser and ensure that your internet connectivity is at least the minimum connection of 800 Kbps.  

Network congestion can occur at any time due to the following problems:  

  • If you are connecting to the internet through a slow connection, or over a congested WiFi or cellular (mobile) network.  
  • If you are connecting to the Internet from a mobile device.  
  • There is heavy traffic on your company network.  
  • To alleviate network congestion, you may want to consider the following:  
  • Upgrading to a faster connection  
  • Minimize the number of applications you are running while accessing the conference   

I cannot hear anything (or the sound is very faint).

Please make sure you have an up-to-date modern browser, that your speakers are connected, and the volume is turned on by clicking over to an alternate website (like YouTube).  
 
Verify that your speakers are plugged into the power outlet, turned on and up, and connected to the audio port of the computer. Your speakers or headphones must be plugged into the sound card, not into the sound out jack of the CD-ROM drive. If you still cannot hear any audio, check your system volume settings and the volume on the media player. If your system is properly set-up, then try adjusting the system volume settings:  

  1. Click Start, Settings, and then Control Panel.  
  1. Double-click on the Multimedia Icon.  
  1. On the audio tab, turn up the volume. 
  1. If it is grayed out, this is an indication that the system is not configured for sound.  

My computer crashes when I try to access a session.

Verify that your settings meet the minimum event requirements. ON24 is a 100% web-based platform. Try clearing your browser's cache and restart the session.
