Q. What if I am contacted by a third party for hotel reservations? 

RMA will not reach out to solicit hotel rooms or to register you for this conference.  Should you be contacted by any organization or website that claims to offer lower rates we urge you to use extreme caution and contact rmaevents@rmahq.org with any relevant information. 

 

Q. What is the dress attire? 

Conference attire is smart casual (nice jeans, no shorts, no flip flops). Since meeting rooms are often cold, you may wish to bring a jacket or sweater. 

 

Q. How will I receive my registration badge and materials?  

Event materials will be distributed at the event registration area at the venue. Attendees MUST wear name badges to all conference sessions and events to gain admittance.

RMA appreciates your cooperation in refraining from scheduling other events, such as golf outings or special tours, during the conference business program. A Private Event is an invitation-only outing, dinner party, or reception hosted by an organization or group other than RMA. Private events are not considered part of the conference program agenda and, as such, should not be held during or interfere with the conference program or sponsored events. Please refrain from holding events on Monday evening before 10:00 P.M. If your organization is planning an event for Tuesday, Wednesday, or Thursday evening, please plan to start the event for 7:30 P.M. or later. We ask that you please support the sponsors of all the conference events by recognizing their financial commitment to the particular event (food/beverage cost) and the conference.

    • Group Rates
      • You are not charged at time of booking. Only charged if you cancel within the cancellation penalty.
      • There is a $10 per night Resort Fee

    • Hotel Cancellation Policy
    • Cancellations made within 7 days prior to arrival will forfeit the first and last night’s room rate and tax.  No-shows will be charged the full room revenue for the dates of the reservation.
    • All registrants are responsible for their own Hotel reservations and will need to cancel any reservations directly through the Hotel unless otherwise communicated.

 

RMA has also secured a block of rooms at The Omni Amelia Island. Rates will start at $339 and are quoted exclusive of applicable room taxes and $10 resort fees. RMA will have complimentary shuttle buses between the OMNI and Ritz Carlton. 

  • Reservations must be booked before Wednesday, August 16, 2023 in order to secure the group discounted rate.
  • Group Rates
    • A deposit of one night’s room and tax due at time of booking.
    • There is a $10 per night Resort Fee
    • Please contact the hotel directly at (888) 261-6161 to add pre & post nights based upon availability.
  • Hotel Cancellation Policy
  • Guests must cancel 7 days in advance of arrival. Deposit is non-refundable if cancelling within 7 days of arrival. No-shows will be charged for the full stay including taxes and fees.

Event Cancellation Policy

The cancellation policy details for this event include: 

  • Full refunds will be available on all cancellations emailed (registrar@rmahq.org) to the registrar by August 31, 2023 minus a $150.00 processing fee.  
  • Cancellations from September 1 to September 20, 2023, are subject to a 50% cancellation fee.
  • No refunds or credits will be issued after September 21, 2023.  
  • Registrants failing to attend the event will not be eligible for a refund.  
  • Substitutions allowed up to 5:00pm EST September 29, 2023.  
  • If the event is canceled by RMA, registrants will receive a full refund for registration fees. However, RMA does not assume responsibility for any other expenses, including the purchase of airline tickets, incurred by the registrant in connection with attending the event.  
  • Hotel reservations will need to be cancelled directly through the Hotel unless otherwise communicated.  
  • All applicable refunds will be issued following the close of the event. NOTE: A refund will be returned in the original purchase format. If paying with a credit card, a refund will take an additional 10 business days to post to your account.   
  • COVID-19 accommodations: RMA will provide a full refund for any cancellations due to company restrictions (proof required), illness (proof required) or state, local and federal government regulations regarding COVID-19.
