Virtual Event Coordinator

POSITION SUMMARY  

The Virtual Event Coordinator is responsible for the project management and day to day operations and execution of RMA's portfolio of virtual events. He/she works closely with stakeholders and internal departments to further RMA's brand standard in this space. Additionally, he/she will be responsible for reporting, analyzing and compiling post event details.    

MEASUREMENTS OF SUCCESS  

  • Successfully serves as RMA’s subject matter expert on current and emerging virtual platforms (Zoom, Adobe, Teams, etc...).
  • Establishes and implements project management processes, plans methodologies to ensure projects are delivered on time, adheres to high-quality standards, and meets customer expectations.
  • Communicates effectively with speakers, sponsors and stakeholders ensuring adherence to brand standards.
  • Identifies content and/or operational gaps by performing quality reviews and escalating functional, quality, or timeline issues appropriately, and with a sense of urgency.
  • Provides actionable insights to RMA based on data analysis and evaluating market trends.    

ESSENTIAL FUNCTIONS  

  • Understand platform capabilities. Train and consult stakeholders as needed to ensure flawless event execution.
  • Works with Digital Marketing team to maintain digital and editorial calendar, drive timelines and traffic deliverables between departments.
  • Review delivery plans, participate in/ lead rehearsals and make recommendations for improvement.
  • Ensure client facing information such as; confirmations, surveys and presentation decks are accurate and adhere to RMA standards.
  • Develop online surveys and compile results for events across the Association.
  • Prepare & distribute monthly marketing team meeting materials, including dashboards, slides, etc.
  • Manage fulfillment of sponsor deliverable for webinars, Virtual Roundtables, Forums and Trainings.    

EDUCATION AND EXPERIENCE  

  • Undergraduate degree in event management or a related discipline is required.
  • 2-4 years of proven success as a virtual event planner or coordinator required.
  • Experience in virtual events, data analytics, and technology platform design (Zoom, Teams, Adobe Connect) is required.
  • Experience in creating and managing project plans and events calendar.
  • Excellent organizational skills, managing multiple priorities, time management, trouble-shooting, problem-solving, and meticulous attention to detail.
  • Knowledge of technical writing and report generation.
  • Strong interpersonal and communication skills.
  • Ability to handle pressure and make split-second decisions.
